Stage 1: Discover your booking rules
We start with a free call about how customers book you today, what goes wrong and what you want to change. Then we write your rules down: services and durations, staff and rooms, notice periods, deposits, cancellations, integrations and anything unusual. If you prefer to prepare in writing, the booking planner covers the same questions.
You give us: your current booking process, service list and any software you already use.
You get: a short summary of your rules to confirm.
Stage 2: Agree a written plan and quote
We test your rules against suitable booking platforms and, if none fits, outline a custom booking layer. The plan lists the pages, the booking flow step by step, the integrations, the testing we will run, the handover and a fixed price in Canadian dollars, plus the third-party costs you should expect.
You give us: feedback and sign-off.
You get: the plan and quote in writing. Nothing is built until you accept it.
Stage 3: Build and connect
We design the key pages first and agree them with you, then build the site and the booking flow. We connect your calendar and payment processor using accounts opened in your name, and set up confirmation, reminder, change and cancel messages.
Testing happens throughout, not just at the end. We run a written test list covering real weeks, statutory holidays, clock changes where your locations still have them, shared rooms, deposits, cancellations, keyboard use and screen readers. Each test has an expected result written in advance.
You give us: content, photos and timely decisions.
You get: a private preview to review, and the test results.
Stage 4: Launch and support
We switch the site on at a quiet time, place a test booking end to end and watch the first real bookings. You receive handover notes covering content updates, blocking time, checking the calendar connection and testing a booking, plus a recorded walkthrough. We check in after two weeks and again after six weeks to review the first bookings and adjust anything that needs it.
You give us: access to your domain and accounts for the switch.
You get: a live site, handover notes and two post-launch check-ins.
The timeline we plan for
| Stage | Duration we plan for | What can stretch it |
|---|---|---|
| Discovery and plan | 1 to 2 weeks | Rules that need decisions from several people |
| Design of key pages | 1 to 2 weeks | Several rounds of changes |
| Build and integrations | 2 to 3 weeks | Older practice software, complex payment rules |
| Testing and fixes | About 1 week | Rules that change during testing |
| Launch and handover | Under 1 week | Domain or account access delays |
Those stages, discovery included, add up to roughly five to nine weeks from first call to launch for a small site. Larger projects with custom booking layers, several locations or formal accessibility audits take longer, and the written plan gives a date range for your project.
How we keep you informed
You get a short written update at the end of each week during the build, listing what was done, what is next and anything we need from you. Decisions go in writing, so nobody has to rely on memory about what was agreed.
What we need to keep things moving
- One person on your side who can make decisions.
- Service details and policies confirmed before design starts.
- Text and photos supplied by the agreed date, or writing help added to the scope.
- Access to your calendar, payment processor and domain accounts when needed.
Frequently asked questions
Can you launch before a busy season?
Often, if we start early enough. Tell us your deadline on the first call and the plan will say whether it is realistic.
What if my rules change during the build?
Small changes are absorbed. Larger ones are quoted as a change to the plan before we make them, so you stay in control of cost and timing.
Will my current booking system keep working during the build?
Yes. We build on a private preview and switch over at a quiet time you choose.
