Calendar Integration That Works Both Ways

A booking is only useful if it shows up where you look. We connect your booking site to your calendar and test every direction it can fail.

What calendar integration should do

Good calendar integration has two directions. Outbound, a booking made on your website creates an event in your calendar with the details you need. Inbound, time you block in your calendar, such as a dentist appointment or a day off, removes that time from the booking page. One-way sync is common and often fine for a single practitioner. Two-way sync matters once several people book into shared calendars or once staff edit appointments by hand.

The standards behind calendar sync

Most calendar tools exchange events using iCalendar, the format defined in RFC 55451. It lets an event carry a time in Coordinated Universal Time, marked with a trailing "Z", or a local time tied to a named time zone through a TZID reference such as America/New_York1. The Google Calendar API, a common target for bookings, also uses IANA time zone identifiers and requires a single time zone for recurring events so the recurrences can be expanded correctly2. In practice this means time zone handling must be decided once and applied everywhere, which is part of the plan.

What we connect

  • Staff calendars, so each person sees their own bookings.
  • Shared calendars for rooms or equipment, where your setup supports them.
  • Calendar feeds (iCalendar subscriptions) for read-only views, such as a front desk screen.
  • Add-to-calendar files in confirmation emails, so customers can save the appointment to their own calendar.

The exact connectors depend on the booking system and the calendar you use. The written plan lists which connections are native to the platform, which need an integration service and which we build.

Where calendar sync goes wrong

Common sync failures and how we test for them
FailureWhat the customer or staff seesHow we test it
Time zone mismatchAn appointment shows an hour early or lateBook from a browser set to another zone and compare
Daylight saving shiftBookings after the clock change move by an hourBook across the March and November change dates
Stale availabilityA time blocked in the calendar still appears onlineBlock time manually and reload the booking page
Orphaned eventsA cancelled booking stays in the calendarCancel from the customer link and from the admin side
Recurring seriesA weekly class repeats at the wrong timeCreate a series and check several weeks out
Duplicate eventsOne booking appears twiceEdit a booking and confirm only one event remains

What goes into each calendar event

A calendar event can carry personal information. We include only what your staff need to deliver the appointment: the customer's name, the service, the time and a way to reach them. Notes about health, finances or anything sensitive should stay in a system built for them. The federal privacy principle on limiting collection asks organizations to collect only the personal information needed for an identified purpose3, and the same thinking applies to what gets copied into calendars that many people can see.

Testing and handover

We test each direction of sync with real accounts before launch and record the results. The handover notes explain which calendar is the source of truth, how to block time, what to do if sync pauses and how to reconnect an account after a password change. Those notes matter: a disconnected calendar is one of the quieter ways a booking site starts offering times nobody can keep.

When sync is not the right answer

Sometimes the cleanest setup is to make the booking system the only place appointments live and to stop editing a separate calendar at all. If your team already works inside a practice management or salon system with its own calendar, connecting the website to that system can be better than syncing to a general calendar. We recommend whichever option leaves you with one place to check, and we explain the trade-off in the plan.

Frequently asked questions

Will my personal appointments show up on the booking page?

Only as unavailable time. With two-way sync, blocked time in your calendar removes those slots from the booking page, but customers do not see what the time is for.

What happens if the calendar connection breaks?

The handover notes list the warning signs and the steps to reconnect. If you choose a care plan, we check the connection as part of regular maintenance.

Can customers add the appointment to their own calendar?

Yes. Confirmation emails can include a calendar file or link so customers can save the booking with the correct time zone.
